INFORMATION FOR PRESENTERS

Instructions for presenting authors

By SPAWC tradition, all (regular and special session) paper presentations are poster-based, with the exception of the keynotes, SPAWC talks, and tutorials. Session slots are 1-hour long. Please find your session in the detailed technical program.

The poster stands have dimensions of 1.0m (width) x 2.5m (height), so you can easily fit an A0 size poster in a portrait format therein. To ensure visibility, all poster materials should be legible from a distance of two meters. Please ensure that the title of the paper, the authors, and their affiliations are prominently displayed near the top of the poster.

Authors are responsible for printing their own posters, hanging them before the session begins, and removing them after the session ends. We will provide the necessary materials to attach the posters to the booths. Student volunteers will be available to provide assistance and help facilitate the smooth operation of each session.

Each poster board on site will be numbered according to the poster listings in the PDF program. Please place your poster on the assigned poster board.

In addition, please indicate the presenter of your paper in the EDAS system.

NOTE: For those who wish to print their poster in Lucca, one option is Paolini Digital Print. The cost is approximately 25 euros (VAT included). Please note that it may take up to two days for the poster to be ready. You can contact them at info@paolinidigitalprint.it for more details.

Instructions for keynote speakers

Each keynote has a 45-minute time slot, including time for Q&A. Given our tightly packed and engaging program, we kindly ask for your cooperation in adhering to this schedule.

Your presentation can be displayed using either the on-site laptop or your own device. To ensure everything runs smoothly, please arrive in the plenary room at least 15 minutes before your scheduled time to verify all technical aspects.

Instructions for SPAWC talk speakers

Each SPAWC talk is allocated a 30-minute slot, which includes time for Q&A. In order to maintain a tight schedule and an engaging program, we appreciate your cooperation in keeping to this time frame.

You may use either the on-site laptop or your own device for your presentation. To ensure a smooth start, please arrive in the plenary room at least 10 minutes prior to your scheduled time to check any technical details.

Instructions for tutorial instructors

We have scheduled two sessions of 1 hour and 30 minutes each for each tutorial, with a 30-minute coffee break between the sessions. Your presentation will be displayed using your own device. Please arrive in the room 15 minutes before your scheduled time to ensure that all technical aspects can be properly checked.

If you would like to share your slides with attendees, please provide them to the organizing committee in advance. This will allow us to distribute them prior to your presentation.

Instructions for session chairs

Please collect your session sheets at either the Welcome Desk or from the student volunteers prior to the session. It is the responsibility of the session chair to ensure that each poster is presented by one of the authors: if so, please mark the session sheet accordingly; if not, please inform as soon as possible the staff at the Welcome Desk. After the session, please return the completed and signed session sheets to the Welcome Desk.

In addition, session chairs are asked to assist with the timely movement of attendees in and out of the session to ensure the smooth running of the overall program. Student volunteers will be available to assist and facilitate the smooth running of each session.
